Contract Administrator

Department: Project Management & Logistics

Requirements:

  • Higher education completed, preferably in economics
  • Work experience: minimum 1 year in similar activities
  • Very good experience in drawing up tables, records and reports
  • Knowledge of basic accounting
  • Experience in data processing is an advantage
  • Experience in the use of an IT system such as ERP is an advantage
  • Fast learning skills
  • Planning and organisational skills
  • Very good organization and attention to detail
  • Excellent communication and interpersonal skills
  • Very good computer skills: MS Word, Excel, Outlook;
  • Document Management (preferred), Internet
  • English – intermediate level.

Responsibilities:

  • Use of Document Management system: recording data related to assigned projects (business plan, related documents, other data, etc.) and generating reports
  • Issue for each project the necessary materials, equipment, etc., according to the schedule presented in the Business Plan. Preparation of material statements
  • Prepare and submit the documents required to obtain bank letters of guarantee or to open bank letters of credit for ongoing contracts
  • Prepare, with the logistics officer, the equipment and materials for delivery to the beneficiary
  • Resource planning and optimization, together with the Project Manager
  • Follow-up on the implementation of commercial contracts under administration and report on non-compliance by the beneficiary with any contractual clauses
  • Follow-up, together with the Project Manager, the execution of orders and additional works received from the beneficiaries
  • Issue invoices to customers
  • Follow-up of timely payment of suppliers
  • Prepare financial statements (income/expenses) and statements of works (estimates)
  • Manage travel expenses to the client and other expenses
  • Make sure that works and expenditures are within the budgets allocated per contract
  • Weekly report to the Project Manager on the status of the invoices issued to the beneficiary, as well as on any other aspects related to the contracts under administration.
